The music at your wedding is one of the things that makes or breaks the atmosphere. With this checklist, you ensure everything is arranged on time.
6 months ahead: Book your DJ or musical team. Popular dates in spring and autumn fill up fast — especially Fridays and Saturdays. The earlier you book, the more choice you have. During the first conversation, ask about availability, packages and references.
4 months ahead: Schedule an introductory meeting with your DJ. Discuss the venue, guest count, the atmosphere you want and any special moments (first dance, speeches, surprises). This is also the time to discuss whether you want to combine live music with a DJ.
3 months ahead: Start the music plan. Collect favourite songs, must-plays and no-go's. Optionally create a shared playlist that you and the DJ work on together. Discuss the flow of the evening: when ceremony music, when drinks reception, when dinner, when party.
2 months ahead: Coordinate the run sheet. Timings, transitions, technical cues — everything needs to be right. Share the run sheet with the venue, the caterer and other suppliers so everyone is informed. Discuss noise limits with the venue.
1 month ahead: Finalise the run sheet. Confirm the first dance, the speeches and any surprises. Send the final version to all parties involved.
1 week ahead: Final check with the DJ. Confirm times, venue and contact details. Make sure the venue has received the power requirements.
